How to buy and set up a phone number in your CRM?

In this tutorial, we will show you how to purchase a phone number and configure it to make and receive calls through your CRM. Follow these steps for a successful setup.

Step 1: Access the phone number settings

  1. Log in to your CRM.
  2. Go to the Settings menu.
  3. Select the Phone Number tab under Business Services.

Step 2: Add a phone number

In the phone numbers section, click on Add a Phone Number.

Note that you must purchase a new number; it is not possible to transfer an existing mobile phone number into the app.

Step 3: Choose and buy a number

  1. Select the country where you want to purchase the number, for example, Canada.
  2. If you're lucky, you might find a number with a memorable sequence, similar to one you already have.
  3. For this example, let’s choose a number with the 450 area code.
  4. Review the associated costs for the selected number.
  5. Complete the purchase using a secure payment method like Visa. Wait for the transaction to be validated and for the number to appear on your dashboard.

Step 4: Set Up the Phone Number

  1. Assign the Phone Number: You will receive a call from this number, even if the caller is using another number. You can set up the number to forward calls to another number if needed.
  2.  Configure Call Options:
    1. Call and Write: Enable this option to have the CRM announce incoming calls. This helps manage calls and improves reporting.
    2. Call Recording: You can choose to record calls. Ensure you inform your clients that calls may be recorded, and use an English warning message or leave it blank.
    3. Time Before Voicemail: Set the time before a call is sent to voicemail. Generally, 60 seconds is a good choice.
  3. Call Assignment: If you have a team, set up call distribution to route calls to the right people. For this example, let’s assign the calls to myself and save the settings.

Step 5: Business Verification

  1. Go to the Trust Center.
  2. Complete the Shaken-STIR form to verify that you are a legitimate business.
  3. This verification helps prevent your number from being flagged as spam and ensures that your calls and messages reach the recipients properly.

Step 6: Further Exploration

  1. Shaken-STIR is the essential verification process to complete for each number. Other verifications, while useful, are optional.
